Position Title: Student Services and College Counseling Coordinator
Reports to: Co-Directors of College Counseling
Status: Non-exempt
Start Date: Summer 2026
Pay Scale: $75,000 - $78,000 per year commensurate with experience
Job Summary
The Student Services and College Counseling Coordinator supports the daily operation of student attendance and records management while assisting the College Counselors. This position plays a key role in Advanced Placement testing, standardized testing coordination, and administrative, organizational, and student-facing support to the College Counseling Office.
Essential Duties and Responsibilities
College Counseling
- Support college and career readiness programming and post-secondary planning.
- Support fall college visits and serve as a liaison with college admission representatives before and after campus visits.
- Develop proficiency with the college visit scheduling system and SCOIR.
- Coordinate college visit attendance tracking and hospitality.
- Maintain recruitment materials and update college counseling platforms.
- Attend selected college representative meetings or high-priority visits.
- Document and upload college visit notes to SCOIR.
- Support communications for college visits, fairs, workshops, and planning events.
- Support scholarship research, applications, and resource management.
- Send college application documents not submitted through SCOIR.
Student Attendance Records
- Maintain accurate student attendance records, including daily attendance, tardies, absences, and early dismissals.
- Oversee daily attendance, review student absences, manage early dismissals.
- Monitor attendance trends and communicate concerns to counselors, administrators, students, and families.
- Process attendance corrections and maintain compliance with state laws.
- Generate reports related to attendance, enrollment, and student data as needed.
Standardized Testing Coordination
- Coordinate and administer standardized assessments, including the SAT, PSAT, and other college readiness assessments.
- Coordinate testing logistics, including materials, accommodations, rosters, scheduling, and proctors.
- Serve as the school’s AP Coordinator and liaison to the College Board for Advanced Placement testing.
- Coordinate AP exam registration, ordering, administration, and score reporting.
- Ensure AP teachers are enrolled in AP Classroom and communicate AP testing requirements to students and families.
Qualifications
- Bachelor’s degree required.
- Relevant experience in student services, records management, education, or office administration preferred.
- Excellent organizational, communication, and proofreading skills with strong attention to detail and confidentiality.
- Ability to manage multiple priorities and collaborate effectively with students, families, and school stakeholders.
- Proficiency with or willingness to learn student information systems and educational software.
Knowledge, Skills, and Abilities
- Knowledge of attendance procedures and records management.
- Strong organizational skills with the ability to manage schedules, deadlines, and events.
- Ability to coordinate testing and support college counseling processes.
- Ability to build positive relationships and collaborate with students and stakeholders.
- Interest in student development and educational support programs.
